How Kufah Institute runs enrollment, exams and billing on MarkTrack Read it
Switching systems

We move your school onto MarkTrack in one week.

RenWeb, FACTS, Schoology, Gradelink, QuickSchools, Muntazim, Jupiter, a shared drive full of spreadsheets — or anything else. You send us what your current system gives you. Our AI migration rebuilds it inside MarkTrack, and nobody on your staff re-types a grade.

One week, guaranteed — or your money back

Everything comes across

Not just a roster. The history too — so the first day on MarkTrack looks like the last day on your old system, only better.

Students & families

Every student, parent, sibling link, address, phone number and emergency contact — with families kept together.

Gradebooks & past grades

Assignments, categories, weightings and every grade already recorded this year.

Report cards & transcripts

Past report cards and transcripts, including scanned PDFs from before you were digital.

Attendance history

Years of daily attendance, so your rates and reports are right from day one.

Tuition, balances & plans

Who owes what, who is on a payment plan, who is paid up, and what they have already paid.

Hifz & Qaidah progress

Juz-by-juz memorization, sabaq and revision records — even from a handwritten register.

Enrollment records

Applications, acceptances and the documents families already submitted.

Teachers & classes

Your staff, your class structure, and who teaches what.

School calendar

Terms, holidays and events, so the year is already laid out.

What you send us

roster.csv grades.xlsx Google Sheet scanned PDFs a Word doc a photo of a register a printout

Whatever your current system will export, in whatever shape it comes out. If it exports badly, send it badly — nothing needs cleaning up first.

What you get back

Students & families Classes & teachers Gradebooks Attendance Balances Hifz records

A working school. Teachers log in to their own classes, parents to their own children, and every balance already reconciled against what you sent.

The week

What actually happens

Your side of this is one afternoon of downloading files. The rest is ours.

Day 1
You

You send us your data

Log into your current system and export whatever it will give you — roster, gradebooks, report cards, attendance, billing. One folder, one email. If you can't get an export out, we will sit on a call and do it with you.

Day 1–2
Us

We read it and map it

Our AI reads every file, works out what each column actually is, and maps it onto MarkTrack — students to families, grades to assignments, payments to balances. Messy headers, merged cells and three-rows-per-student layouts are the normal case, not a problem.

Day 2–4
Us

We rebuild your school

Schools, classes, teachers, students, parents, gradebooks, attendance history, tuition plans and balances — built out and cross-checked against your originals, record by record.

Day 5
Us & you

You check the numbers

We walk you through it on a call: student counts, balances, attendance rates, a handful of individual records you pick. Anything that looks off, we fix before anyone else sees it.

Day 6–7
You

You go live

Teachers get their logins, parents get their invitations, and you keep teaching. Your old system stays untouched for as long as you want it as a backstop.

One week, guaranteed — or your money back

We start the clock the day your files land with us. If your school is not live on MarkTrack within seven days, you pay nothing for the migration and nothing for the time you have been on MarkTrack. Keep the account or walk away — either way you are not out of pocket, and your data stays yours to export whenever you like.

Questions schools actually ask

What if our old system won't let us export anything?

It usually will, even if it is buried. Tell us what you are on and we will tell you exactly which menu to look in — and if there is genuinely no export, we can work from printouts, PDFs or screenshots instead.

Do we have to stop using our current system while you migrate?

No. Keep using it right up to the day you go live, and keep it afterwards as long as you like. We take a snapshot, and anything entered after that we re-sync before cutover.

What about data from years ago?

Send it. Old report cards, past attendance, transcripts for students who have already graduated — history is usually the thing schools are most afraid of losing, and it is the thing we are most careful with.

How do you know the numbers are right?

Every record is checked back against the file you sent before you see it, and we walk the totals through with you on a call before go-live. If a balance or an attendance rate does not match, it is fixed before anyone logs in.

Who sees our data?

Only the people doing your migration. It is encrypted in transit and at rest, never used to train anything, and the working copies are deleted once you confirm the migration is right.

We are a small weekend school. Is this overkill?

No, it is faster. A weekend maktab with 60 students is usually live in two or three days rather than seven.
