Build the weekly progress report for any range of days, check who it would be emailed to before anything is sent, write the covering email in your own words, and send each parent one email carrying their own children's reports as PDFs.

What happens, step by step
- 1 Start on the admin Dashboard; click Report Builder in the sidebar to open Reports.
- 2 Click the Grades tab, then the Progress Report row.
- 3 The report opens on the term so far. Type a start and an end date in the Covering boxes to cover the week you want; the table, the headline, the PDF and the email all take those two days.
- 4 Read each child's two tables: where they stand in each class right now, then every mark they were given inside those days.
- 5 Click Send to parents. The window says how many emails, to how many parents, for how many children, and names every recipient with the children their email carries.
- 6 Read the list of anyone who will not receive one, and why — no email address on file, no parent linked, or an address the provider has refused.
- 7 Leave Send to all parents ticked, or untick it and choose the families yourself.
- 8 Click Write the email to open the subject and message, both filled in with wording a school office would send and free to replace.
- 9 Click Send. Each parent gets one email carrying a PDF per child of theirs, named for the child and the period.
Frequently asked questions
Does the percentage here match the report card?
Yes. The standing in each class comes from the same gradebook calculation the report card and the parent portal use — category weights, drop-lowest and status rules included. It is not re-averaged from the marks listed underneath, which is why a child with a missing assignment can show a class grade lower than their listed marks suggest.
Why is a piece of work missing from the list?
The list is only work the child was given a mark on. Anything still ungraded, never handed in, excused, exempt, incomplete or not assessed has no mark to print, so it is not a row — even when a score was typed against it. It can still affect the class grade above.
Can I send a report for half a term, rather than a week?
Yes. The Covering boxes take any two days. Whatever you type is the whole run: the table, the headline number, each PDF, the recipient list, the subject line and the email all cover exactly those days.
Does a parent with three children get three emails?
No — one email, carrying three PDFs, one per child, each named for the child and the period. A parent never receives another family's child in any attachment, filename or line of the email.
What happens to a family with no email address?
They are listed in the window before you send, by name, with the reason and the children they cover, so you can go and fix the record. Nothing is sent to them and nothing fails silently.
I pressed Send twice. Did the parents get it twice?
No. The same email to the same families, with the same period and the same words, is refused for two minutes and the screen says the report is already on its way. Changing the message, or choosing different families, is a new send.
My report shows children from another campus. Will they be emailed?
No. The report can cover every school you can see, but the send is scoped to the school you are currently in. The window counts the children at another campus and says so; switch school to send to them.
